Synercon is pleased to announce the beta release of the a.k.a.® to SharePoint integration strategy (Stage 1).

As the fastest growing document management product in history, SharePoint has generated high expectations. Because of its relatively low cost and seamless integration with Office and other Microsoft tools, SharePoint has been embraced as the quick fix solution for document management . It’s simple to configure, install and deploy but the catch is that it comes without any of the inbuilt control systems and tools for managing large volumes of documents and records. And while SharePoint may not be your designated records management system, you can be certain that SharePoint will be used to create, capture and maintain records and those records will need to be managed in accordance with organizational policies.

Although SharePoint’s powerful search and indexing services can assist in finding content, the effectiveness of content searching diminishes with increasing volumes of documents. Users don’t just search for documents, they categorize them for a range of other purposes including aggregation, access, security and filtering. Records managers also need to categorize documents and records so they can assign retention and disposal rules.

This is where a.k.a.® comes in.

a.k.a.® software provides a suite of tools for the development of taxonomies (thesauri, controlled vocabularies) and disposition (retention) schedules for records management. a.k.a.® enables development and management of schemes in accordance with the DIRKS methodology (ISO15489 Standard for Records Management), and publishes in a wide range of formats, including XML, to EDRM systems and to the web.

The a.k.a.® to SharePoint Integration enables the publication of classification schemes (taxonomies) directly into the SharePoint document centre, enabling centralised control of the SharePoint File Plan.

Terms and their metadata can be added, modified and deleted in a.k.a.® and republished into SharePoint without affecting linked documents.

a.k.a.® also delivers term metadata to SharePoint enabling users to view scope notes and other relevant term data.

Users who wish to comply with ISO 15489 can use a.k.a.® to develop and publish functional classification schemes to the SharePoint File Plan. a.k.a.® can then be used to develop linked object types (Stage 2) and retention policies (Stage 3) to be imported into SharePoint and mapped to the File Plan. This connectivity between classification terms, object types and retention management paves the way for the automation of records retention in SharePoint (Stage 4).
